Automate

Your mailbox
only the folders you pick

For recruiters whose CVs, client briefs and replies arrive by e-mail. We are building a Gmail and Microsoft 365 connection that reads only the folders you select, sends CVs and job descriptions to a review queue and writes reply drafts when you ask. None of it is available yet; this page explains what is being built and what works today.

Status in productionIn developmentIn development, not available. Today Jenny has no mailbox connection: e-mails are drafted and approved in the app, and documents are uploaded by hand. No release date is promised.

The problem

The most important updates arrive where your system cannot see them

A candidate sends an updated CV, a client forwards a brief, a hiring manager asks for a second profile. Most of it lands in a mailbox, not in the recruitment system, and keeping the record current means downloading, uploading and remembering which thread belonged to which job.

Connecting a mailbox only helps if it is done with restraint. An inbox holds private conversations, other clients’ information and personal mail. A connection should read only what you allow, leave anything uncertain for a person to decide and never send on your behalf without your say.

What changes

  • When released, CVs and job descriptions from the folders you select would arrive in a review queue instead of waiting to be downloaded and uploaded.
  • A CV would be linked to a candidate by itself only when the match is decisive; anything else would wait for a recruiter.
  • Reply drafts would be written into your mailbox’s Drafts folder when you click, and you would send them from your own mail program.
  • Automatic sending of approved introductions would stay off until someone configures and authorises it, with caps and a stop switch.
  • Until then, drafting, approval and manual upload already work in the app.

Concept for a feature in development, not available: how the intake queue and reply drafts would look once released.

How it works

  1. 01

    Connect a mailbox

In the version being built, a Gmail or Microsoft 365 mailbox is connected through a hosted sign-in page, with read access to selected folders and, if you choose, permission to write drafts.

  2. 02

    Select the folders

You pick the folders Jenny may read. Sent, Drafts, Trash and Spam cannot be selected, and intake stays off until it is switched on.

  3. 03

    Review the intake

CVs and job descriptions found in those folders go to a review queue. Mail from before intake was switched on is not read, apart from a short look-back you approve.

  4. 04

    Link to records

A CV is linked to a candidate by itself only on a decisive match, such as the candidate’s own address and no conflicting record; otherwise you decide.

  5. 05

    Draft a reply

On your click, Jenny writes a reply draft into the mailbox. You open your own mail program to read it, change it and send it.

  6. 06

    Disconnect any time

Switching intake off or disconnecting the mailbox stops all reading straight away.

Worked example: A client forwards a CV, today and once released

Illustrative — fictional data
  1. 01 · Today: upload

Contact A at a logistics company in Antwerp forwards a CV for Candidate A. You save the PDF and upload it; Jenny prefills the profile for your review.

  2. 02 · Connect (later)

In development: you connect the agency’s Microsoft 365 mailbox through the hosted sign-in and select one folder, “Candidates”, with draft-writing allowed.

  3. 03 · Intake (later)

In development: the next CV in that folder comes from Candidate A’s own address and matches one record, so it is linked by itself and shown in the queue.

  4. 04 · Review (later)

In development: a second CV with the same name as two existing candidates waits for you to choose; nothing is linked on a guess.

  5. 05 · Reply (later)

In development: you click “Draft reply” and the draft appears in the mailbox’s Drafts folder. You read it and send it from your own mail program.

You provide

  • Today: e-mails you draft and approve in Jenny, and CVs or job descriptions you upload or paste
  • Today: replies and outcomes you record by hand
  • In development: a Gmail or Microsoft 365 mailbox connected through a hosted sign-in, and the folders you select
  • In development: your decisions in the intake review queue

Jenny produces

  • Today: approved drafts with a record of who approved which version, and send records marked real or simulated
  • In development: a review queue of CVs and job descriptions found in the selected folders
  • In development: CVs linked to candidates on a decisive match, and open CV requests closed when the CV arrives
  • In development: reply drafts in your mailbox’s Drafts folder, written only when you click

Sources and their status

Gmail or Microsoft 365 mailboxIn developmentSelected folders only, connected through a hosted sign-in, intake off by default. Not available; no mailbox can be connected today.
Reply drafts in your mailboxIn developmentWritten into Drafts only on a recruiter’s click; the person sends them from their own mail program.
Automatic sending of approved introductionsIn developmentOff by default; needs explicit configuration and authorisation, with caps and a stop switch. Not available.
E-mail delivery providerNeeds setupReal delivery of e-mails approved in Jenny needs a provider with a verified sending domain; until then sends are simulated.
Document upload and pasteAvailableCVs and job descriptions from your e-mail can be uploaded or pasted today, for extraction and review.

What it depends on

  • A Gmail or Microsoft 365 mailbox, connected through a hosted sign-in by someone allowed to grant access to it
  • Someone with the right to select the folders and switch intake on
  • For automatic sending: an e-mail delivery provider with a verified sending domain, plus explicit configuration and authorisation
  • A workspace that includes it: the version being built does not offer mailbox intake or automatic sending in trial workspaces

Approval and privacy controls

  • Today nothing reads your mailbox: Jenny has no mailbox connection of any kind.
  • In the version being built, intake is off by default and reads only the folders you select; Sent, Drafts, Trash and Spam are never selectable.
  • The connection being built never asks for permission to send from your mailbox; a reply leaves only when you send it yourself.
  • Automatic sending, once released, would cover approved introductions only — not campaigns or follow-ups — and would give way to do-not-contact flags, opt-outs, the suppression list and the stop switch.
  • Disconnecting the mailbox or switching intake off stops all reading at once.

Current limitations

  • None of this is available: there is no mailbox connection in production, for Gmail, Microsoft 365 or any other provider.
  • Replies are not detected today; log them by hand on the candidate, contact or message.
  • In the version being built, intake reads PDF and DOCX attachments up to 4 MB, without OCR.
  • Mailbox intake and automatic sending are not part of trial workspaces in the version being built.
  • No release date is promised. It goes live only after it has been verified in production.

Questions about e-mail integration

Can I connect my mailbox today?

No. There is no mailbox connection in production, for Gmail, Microsoft 365 or any other provider. Today you draft and approve e-mails in Jenny, upload or paste CVs and job descriptions, and log replies by hand.

Will Jenny read my whole inbox?

No. In the version being built you select the folders Jenny may read, intake stays off until it is switched on, and mail from before that moment is not read apart from a short look-back you approve. Sent, Drafts, Trash and Spam cannot be selected.

Will Jenny send e-mails from my mailbox?

No. The connection being built does not ask for permission to send. When you ask for a reply draft, Jenny writes it into your Drafts folder, and you read it and send it from your own mail program.

What would automatic sending do?

It would send approved introductions — not campaigns or follow-ups — through the e-mail delivery provider, only after someone has configured and authorised it. It would be off by default, show exactly which e-mails would go before it starts, respect daily and weekly caps and stop with the stop switch. It is in development and not available.

When will it be available?

We do not give dates. The connection is built and tested on a release branch with simulated providers, not yet with a real mailbox, and it goes live only after it has been verified in production. Register your interest below and tell us which mailbox your agency uses.
