Your database,
new placements

For agencies with years of candidate records, runners-up and earlier placements sitting in their database. When a vacancy opens, Jenny brings those people back: dormant candidates who fit your open jobs, the talent pool from similar earlier jobs, and searches that recognise people you already know, with old or missing information flagged.

Status in productionEarly accessEarly access. The Rediscovered talent list, talent-pool reuse, merged searches and freshness flags work in production; suggested other vacancies on a candidate profile are in development.

The problem

Every new vacancy starts outside your own database

Your database holds years of records: people who reached the final round and lost out to one other candidate, people you placed three years ago, people who registered and were never called back. They know your agency and their history is on file.

Yet a new vacancy usually starts with an external search, because nobody has time to dig through closed jobs and old notes. And when a fresh search does turn up someone you know, they look like a stranger: a second record, a lost history, and sometimes a second call from a colleague.

What changes

  • Candidates who have not been contacted for over a year, are not in a process and fit one of your open jobs are listed on the Overview, each with a reason.
  • A new job shows the talent pool from similar earlier jobs, with how far each person got and when.
  • Job matching reads your notes, evaluations and interview feedback as dated evidence, so earlier screening counts again.
  • People a new search finds again are recognised and merged with their record instead of being added twice.
  • Old or missing information is flagged, so you know what to confirm before you pick up the phone.

How it works

  1. 01

    Bring your history

Import candidates, companies, applications and notes by CSV, and add the CVs you are authorised to use to the CV library.

  2. 02

    Check the Overview

The Rediscovered talent list shows up to 10 people not contacted for over a year and not in a process who fit one of your open jobs, each with a reason.

  3. 03

    Reuse a talent pool

On a job, see candidates from similar earlier jobs with their last stage and date, and add them to the pipeline as Sourced in one action.

  4. 04

    Match with evidence

Job matching quotes your notes, evaluations and interview feedback with their dates, and marks old records “confirm still current”.

  5. 05

    Recognise known people

New searches merge people already in your records, CV library or earlier searches instead of listing them twice.

  6. 06

    Confirm, then call

Check the flagged points with the candidate before you present anyone. Jenny contacts nobody.

Worked example: A Payroll Specialist role in Ghent

Illustrative — fictional data
  1. 01 · Import history

Your agency imports candidates, applications and notes from its previous ATS by CSV, then adds the CVs it is authorised to use to the CV library.

  2. 02 · Open the job

A new Payroll Specialist job in Ghent is created and its criteria reviewed: Dutch and French, social secretariat experience, hybrid working.

  3. 03 · Rediscovered talent

The Overview lists Candidate A: not contacted since early 2024, not in a process, with the reason “Rejected for commute in 2024 — this role is hybrid”.

  4. 04 · Reuse the pool

On the job, the talent pool from a similar payroll role shows Candidate B, who reached the final interview last March. You add B to the pipeline as Sourced.

  5. 05 · Check the evidence

Matching quotes a 2022 interview note for Candidate A, marked “Older record — confirm still current”, and lists French as to verify.

  6. 06 · Confirm by phone

You call Candidate A to confirm their current role, availability and French before presenting them anywhere. Jenny has contacted no one.

  • Search results that tag known people by origin: internal record, CV library or earlier discovery
  • Candidates added to a pipeline as Sourced, when you choose

Sources and their status

Your candidate records and historyAvailableRecords, applications, recruiter notes, evaluations and interview feedback, used as dated evidence when you match a job.
CV libraryAvailableUp to 200 CVs you are authorised to use. Only the facts you reviewed are searched.
Earlier discoveriesAvailablePeople returned by your own searches in the last 30 days, reused without fetching their profiles again.
Suggested vacancies on a candidate profileIn developmentYour own open jobs and saved postings ranked for one candidate, with what is met, missing and to verify, is being built.

What it depends on

  • Your history imported by CSV first: candidates, companies, applications and notes (up to 200 rows promoted per request, 3,000 candidates per workspace)
  • CV files added separately through the CV library, only for CVs you are authorised to use (up to 200 documents)
  • Open jobs in Jenny with reviewed criteria, because reactivation proposes your own open jobs
  • Dates in your data, such as last contact and CV date, so old records can be recognised

Approval and privacy controls

  • Rediscovered talent and talent pools are suggestions. Nobody is contacted, submitted or moved without your action.
  • People already in a job’s pipeline are skipped when you reuse a talent pool.
  • Values the AI extracted and nobody confirmed are labelled “Inferred — confirm”. Unknowns stay unknown rather than being guessed.
  • A CV older than three years, or without a date, is flagged, and so is any cited record over three years old.
  • Earlier discoveries do not become CRM records automatically.
  • A rediscovered candidate fits on recorded evidence; whether they are interested or available today is for you to confirm.

Current limitations

  • The Rediscovered talent list proposes your own open jobs only and shows the top 10. Its fit indicator comes from a simpler check than the evidence-based fit score in job matching, so open the job’s matches to see the evidence.
  • Suggested other vacancies on a candidate profile are in development. Today, find live postings for one candidate through candidate-to-job matching.
  • Free-text and Boolean searches of your database cover structured fields such as title, skills, languages, location and summary, not notes or CV text. Notes count as evidence when you match a job.
  • History that lives only in another system has to be imported first. CSV import promotes up to 200 rows per request and holds up to 3,000 candidates per workspace; CV files are added separately.
  • Jenny cannot know whether someone changed job since your last contact. A flag tells you what to confirm; it does not confirm it.

Questions about candidate database reactivation

Which candidates appear in Rediscovered talent?

People who can be contacted, have not been placed, are not in any current process and have not been contacted for over a year, when they fit one of your open jobs. The Overview shows the top 10, each with a reason, for example an earlier rejection for location on a role that is now remote, and an Add to pipeline action.

Does Jenny read my old notes and interview feedback?

Yes, when you match a job against your database. Recruiter notes, evaluations, interview feedback, application history and reviewed CVs count as evidence, quoted with their date and author. The free-text search box on the Candidates page does not search notes or CV text.

How does Jenny treat information that may be out of date?

It says so. A CV without a date or older than three years is flagged, cited records over three years old read “confirm still current”, and AI-extracted values read “Inferred — confirm”. Missing facts stay missing; nothing is filled in to make a candidate look complete.

Can Jenny suggest other jobs for a candidate I already have?

For live public LinkedIn postings, yes, through candidate-to-job matching from the candidate’s profile. A panel that ranks your own open jobs and saved postings for one candidate is in development.

Is this a mass mailing to my database?

No. Jenny finds and explains who may fit; she does not write to dormant candidates on her own. Any message is a draft that you review and approve, and real delivery needs an e-mail provider to be connected.
